Registrar Team Submission Details

Gender/Grade/Division/Skill

For a particular team, the Registrar should follow these steps:

  • Select the desired Grade for the appropriate Gender

  • Select the desired Division based on the team’s competitiveness. 
    There are four Divisions, 1 (most competitive; no Division 1 in Grade 3), 2, 3, and 4.
  • Enter an “Evaluated Skill Rating,” High, Medium, or Lowrelative to that particular division not relative to all the teams in the grade.

Example: If the team belongs in the upper third of a division, rate it “High.” For the middle third, rate it “Medium.” For the bottom third, rate it “Low.”

Later in the process, BAYS will translate the team’s Division and Evaluated Skill Rating request into a number that appears on the Initial Placement page under the column “eskill”:

Town Rank (Ordinal) / # of Teams

Registrars should rank their teams submitted in each Gender/Grade using ordinals, e.g., 1 of 4, 2 of 4, 3 of 4, 4 of 4. 

  •  For example, a town enters 5 teams in Girls Grade 6 across all divisions and considers teams 3 and 4 to be of equal strength/balanced. Enter the team ranks as 1 of 5, 2 of 5, 3 of 5, 3 of 5, and 5 of 5.

When BAYS considers initial placements, the master team list is sorted by Gender, Grade, and Division. Each Division list is sorted first by eskill and then, for identical eskills, by the ordinal # of the Town Rank.

% Older

This field is mainly for teams that have players from two grades, which occurs primarily in Grade 8. It indicates the percentages of older grade vs. younger grade players on a team. This information may be used to try and keep “younger” teams together if that makes sense in the context of the overall division composition

Examples: 

  • If a Grade X team is all Grade X players, then enter 100%
  • If a Grade 8 team has 67% of its players from Grade 8 and the remainder from Grade 7, enter 67%. If all the players on a Grade 8 team are in Grade 7, % Older field would be 0%.
  • Note: Teams in Grade 3 must be 100% as BAYS does not allow for anyone in Grade 2 to play in BAYS.

Notes Comment Field

The Notes comment field provides key placement information as well. Comments are not published but are used by BAYS to adjust placements. 

Registrars are encouraged to enter brief, salient comments that BAYS should consider about a particular team (e.g., “All new players,” or “very weak team.”)

  • If the Registrar gives identical eskill ratings to two teams in the same Grade, the Registrar should comment on placement for both teams e.g., “Revs/Stars balanced. Place in same section” or “Place Revs and Stars in DIFFERENT sections.”) If no comment is entered, BAYS will assume that teams can be placed together or apart depending on the needs of the placement process.
  • If the Registrar “rolls over” an existing team and suggests a different team placement than supported by the team’s previous season record, then Registrars should note a reason (e.g., “Lost top two players. Move down.” “Two club players rejoined. Move up.”) so that BAYS can consider it in the placement process.

The final critical step is to double check your team submissions on the BAYS website! Verify that the correct number of teams are registered. Check that teams are entered in the right Gender, Grade, and Division. It is much easier to change things before registration closes, then after placements have happened.

Please note that the system will automatically append the town name to all your team names so do not type that in. Otherwise the town name will show up twice in the team name on the site.
